Description of a Portrait Party Event
Portrait Parties are a fun and convenient opportunity to capture beautiful professional images of your children. Events take place at a friend or family member's home, where children and friends are comfortable and at their most natural. Parties are a special NO SESSION FEE event offered by photographer, Nancy Ziller. You, and each guest family, will be scheduled for a 15 minute photography session. In that time period, I will capture images of you, your children, friends, family in a "studio" environment. During the 15 minute session, images of groups, individuals or a combination of both can be taken.
As the hostess of a Portrait Party event, you will earn commission credit on the amount of total print sales. You will receive 15% commission on your guests total print sales as a credit to use towards your portraits taken at the time of this party. This commission credit will only apply to orders received from your guests during the ten day guest ordering period after proofs are posted online. Any order received after the one week time period will not be credited to your commission, so you'll want to stay in touch with your guest and see that they get their orders to you in the one week time period allowed!:)
You will receive the 15% commission rate for a party of 6 or more guests. Should there be "no shows" after your guest has reserved their timeslot, your commission rate will go down. With 5 guests, you will receive a 10% commission rate. With four or less guests, you will receive a 5% commission rate. It's a good idea to contact your guests the night before the event just to remind them of their reserved timeslot.
This credit will be used towards your own print order. Hostess's can earn enough credit to cover the complete costs of their prints!
Requirements of the Hostess
As the Hostess, you will be required to invite a minimum of 6 guest to participate in the event, with a maximum of 12 guests. I will provide an e-mail invitation for you, please mail your invitations 2-4 weeks before your scheduled event to allow enough time for guest to respond and plan for their photograph.
The Portrait Party event will be held in your home. I would recommend you provide snacks or hors'doeuvres, and drinks of some kind for your guests, including children. You will be required to do all the session scheduling for your event. Party's will run 3-4 hours. You may plan your event on any day of the week I have available. Your guest's photography sessions should be scheduled 15 minutes apart. Sessions are required to be scheduled consecutively, do not allow any session timeslot to go unfilled. If after receiving all your rsvp's and initial timeslot requests there are gaps, you may have to go back and move guests around to fill slots into a consecutive pattern.
Your guests should feel free to arrive and leave around their reserved session time. There is no requirement for them to stay for the duration of the party. I will arrive 1-2 hours before the event to set up my photography area and equipment. Only one background will be available, usually a plain black backdrop. I will bring a few props, such as little chairs, stools, pillows, flowers etc. (It is best if the photography area is located in a room away from the rest of the party...this will help to keep the children having their portraits taken from being distracted by other guests. For example, place the photography area in the living room, with the guests encouraged to stay & play in the kitchen/family room area, or even outside on the patio, etc.)
Guest will view their proofs online. Proofs will be posted within four days after the event. Proofs will be available for viewing for one week only...no exceptions. All print orders must be placed during the next ten days to qualify towards the Hostess rewards program. Any orders placed after that time period will not apply towards the Hostess rewards program.
Each guest will receive a portrait pricelist and order form at the event. You will find extra order forms in your Hostess Kit. It will be the Hostess's responsibility to accept all print orders for her guests during the week the proofs are online. Orders must be paid for at time order is placed. You are responsible for collecting the complete order payment with the order. No order will be processed without receiving payment in full.
You are also required to charge $0.07¾% California Sales Tax to all print orders. There will be a line on your guests order forms advising them of this charge, but you should check to see they have included it in their total print order amount. For guests convenience, I will accept checks or cash for payment.
You are required to deliver all orders, along with full payments, to me one week after the date proofs go online. Guest orders will then be processed and ready within two weeks. I will notify you when the orders arrive. You are responsible for picking up the orders and delivering them to your guests.
